Uploading Documents

Supported File Formats

Maxline accepts the following file types for upload:

PDF (Recommended)

Best format. Text-based PDFs are processed fastest.

JPEG / JPG

Works for scanned documents. Requires high resolution (≥150 DPI).

PNG

Good for high-resolution scans. Larger file size than JPEG.

Not Supported

Word documents (.docx, .doc), Excel (.xlsx, .xls), TIF, GIF, or BMP files are not supported. Convert to PDF or JPEG first.

File Size & Limits

  • Maximum file size: 10 MB per document
  • Maximum documents per upload: 5 files at once
  • Storage limit: Unlimited (depends on plan)

💡 Tip: If your PDF exceeds 10 MB, split it into multiple pages or compress images within the PDF.

Best Practices for AI Accuracy

The higher the document quality, the more accurate our AI extraction. Follow these practices:

1. Use Clear, High-Resolution Scans

Scan documents at 150 DPI minimum (300 DPI for handwritten notes). Avoid blurry, skewed, or partially cut-off pages.

2. Remove Watermarks & Headers

Background watermarks, page numbers, and repeated headers can confuse the AI. Ensure key data is in the main document body.

3. Provide Legible Handwriting

For handwritten fields, use clear, large print. Cursive or tiny handwriting reduces accuracy.

4. Include All Relevant Pages

Upload the complete invoice + bill of lading + packing list together. Our system merges data intelligently and flags conflicts.

5. Verify OCR Quality

For scanned documents, our OCR engine (Google Document AI) converts images to text. Always review extracted data for OCR errors like "0" vs "O" or "1" vs "l".

6. Use Supported Languages

Maxline extracts data in English. Documents in French (common in Mauritius/Réunion) are supported; other languages may have reduced accuracy.

Recommended Document Types

For best results, upload documents in this order:

  1. Invoice / Proforma Invoice — Primary source of goods description, value, and party information
  2. Bill of Lading (B/L) — Shipping details, incoterms, vessel name, port information
  3. Packing List — Item-level details, quantities, weights, dimensions

💡 Our system automatically detects document types and merges data by priority. Conflicts are flagged for manual review.

Common Extraction Challenges

Tables with Mixed Data

Items listed in complex tables with merged cells may be misread. Verify item counts and values match your original document.

Currency Symbols

Non-standard currency symbols (unusual fonts, hand-drawn $) are sometimes misidentified as regular text. Enter currency manually if needed.

Multiple Consignees

Documents with multiple recipients may only extract the first one. Use the manual edit feature to add additional parties.

Handwritten Fields

Handwritten values are flagged with lower confidence. Always manually verify and correct if needed.
